Migration workstreams

More than a mailbox copy

Leaving Google Workspace changes how people sign in, share files, schedule meetings, and find documents. We plan each of those, not just the data transfer.

Discovery

Workspace inventory

Users, groups, aliases, shared mailboxes, delegated inboxes, resource calendars, shared drives, data volumes, and third-party apps that sign in with Google.

Mail

Gmail & Calendar

Email, labels, contacts, and calendars moved into Exchange Online in batches, with a routing plan so mail keeps flowing during coexistence.

Files

Drive & shared drives

My Drive content mapped to OneDrive and shared drives mapped to SharePoint or Teams sites, with folder structure and sharing reviewed first.

Identity

Entra ID & SSO

Accounts, groups, MFA, and apps that used Google as the identity provider re-pointed to Microsoft Entra ID before Google is switched off.

Cutover

DNS & final sync

MX, SPF, DKIM, DMARC, and Autodiscover changes, final delta passes, mobile reprofiling, and a clear rollback point.

Adoption

Outlook, Teams & training

Short role-based onboarding for Outlook, OneDrive, and Teams so users are productive on the first morning, not the second week.

G→M

Built around how your team actually works

Most Google-to-Microsoft projects fail on people and edge cases, not on bandwidth. We pilot with real users, fix what they hit, then move everyone else in planned waves.

Plan the Google Exit
  • ✓Pre-migration inventory of users, groups, shared drives, and Google-dependent apps
  • ✓Label-to-folder mapping decisions made before the first batch
  • ✓Shared drive to SharePoint and Teams site design with permission review
  • ✓Coexistence plan so internal mail and calendar invites keep working mid-project
  • ✓Rebuild plan for Google Sites, Forms, Apps Script, and other non-migratable items
  • ✓Pilot group, wave schedule, cutover runbook, and post-move support window

Where projects go wrong

The Google-specific traps we plan around

These are the issues that most often surprise teams after a do-it-yourself Google Workspace migration.

Labels

Labels become folders

A message with several Gmail labels can land in several Outlook folders, which inflates mailbox size and confuses users unless the mapping is decided up front.

Native files

Docs, Sheets & Slides

Google-native files convert to Office formats. Comments, suggestions, and version history do not always come across, so active working files need a plan.

Meetings

Calendar links

Migrated meetings keep their original Google Meet links. Recurring meetings owned by key people often need to be re-sent as Teams meetings.

Apps

Sign in with Google

SaaS apps that used Google as the identity provider stop working when Google accounts are closed unless they are moved to Entra ID first.

Not migrated

Sites, Forms & scripts

Google Sites, Forms, Apps Script automations, and Keep notes have no direct migration path and need to be rebuilt or retired deliberately.

Sharing

External shares

Links shared with clients and partners from Drive do not carry over. Owners need a list of what to re-share from OneDrive or SharePoint.

FAQ

Google Workspace migration questions

It depends on users, data volume, and how much Google-specific functionality you rely on. Small organizations can often finish in a few weeks; larger or file-heavy environments run in planned waves over a longer window. We give you a schedule after discovery, not before.
Yes. Mail routing is planned so messages keep arriving while data is copied. MX records change at cutover, followed by a final sync so recent mail and calendar items are not left behind.
Shared drives usually map to SharePoint document libraries or Teams-connected sites. We review structure and membership first so you do not recreate years of sprawl in Microsoft 365.
Google Sites, Forms, Apps Script, Keep, and some file history and comments do not move automatically. We list these during discovery and agree what to rebuild, replace, or archive.
Most people adapt quickly to Outlook and OneDrive, but Teams and SharePoint sharing work differently from Google. Short, role-based onboarding and a support window after cutover prevent most help-desk spikes.
