Short answer
Power Apps makes sense for internal business processes that live in spreadsheets, email and paper forms, such as requests, inspections, intake and tracking, especially when data sits in Microsoft 365 or Dataverse. It makes less sense for public-facing apps, high-volume transactional systems, complex custom logic, or needs a packaged SaaS product already meets. Licensing and support ownership should be settled before you build.
Key facts
- Power Apps fits internal, process-driven apps for tens to thousands of users inside Microsoft 365.
- Canvas apps give design control; model-driven apps build forms and views from a Dataverse data model.
- Apps using only standard connectors such as SharePoint and Outlook are covered by many Microsoft 365 licenses.
- Premium connectors, Dataverse and on-premises data generally need Power Apps Premium or per-app licensing.
- Every app needs a named business owner and a support plan before it goes live.
Where Power Apps fits well
Power Apps is strongest when a process already runs on spreadsheets, shared inboxes and email chains. It turns that into a structured app with forms, validation, permissions and an audit trail, usually connected to Power Automate for notifications and approvals.
- Intake and request forms that replace a shared inbox.
- Field inspections, site audits and checklists on mobile devices.
- Asset, equipment and inventory tracking.
- Onboarding and offboarding task tracking.
- Simple case or project tracking for a single department.
- Front ends for data already in SharePoint lists, Dataverse or SQL.
Where it is the wrong tool
Power Apps is not a general replacement for software development or for commercial products.
- Public or customer-facing websites and portals; Power Pages or a custom site fits better.
- High-volume transactional systems with heavy concurrency or strict performance needs.
- Complex logic, algorithms or integrations that are easier to maintain in code.
- Processes a packaged SaaS tool, such as a ticketing, CRM or HR system, already handles well.
- Tasks a simple Microsoft Form, Excel workbook or SharePoint list already handles.
Canvas, model-driven and where data lives
Canvas apps start from a blank screen and give full control over layout. They suit task-focused and mobile apps. Model-driven apps are built from a Dataverse data model and generate forms, views and dashboards, which suits data-heavy back-office processes with relationships and business rules.
The data source matters as much as the app type.
| Data source | Good for | Watch out for |
|---|---|---|
| SharePoint lists | Simple apps, small data volumes, standard licensing | Delegation limits, complex relationships, row-level security |
| Dataverse | Relational data, security roles, auditing, model-driven apps | Premium licensing and capacity |
| SQL or other databases | Existing line-of-business data | Premium connectors, gateway for on-premises data |
| Excel | Prototypes only | Concurrency, file locking, scale |
Licensing questions to settle early
Many Microsoft 365 plans include rights to use Power Apps with standard connectors such as SharePoint, Outlook and Teams. Apps that use premium connectors, Dataverse, custom connectors or on-premises data through a gateway generally require Power Apps Premium or per-app licenses for each user. Check current Microsoft licensing terms for your plan before you design, because the data source choice can change the cost model.
Questions to ask before building
A short set of questions prevents most failed projects.
- Who owns the process and the app after launch?
- How many users, records and transactions per day?
- Does a packaged product already do this well enough?
- What data source and licensing does the design require?
- How will the app be secured, tested, deployed and changed over time?
- Is the Power Platform environment and DLP policy setup ready for production apps?
How Accred Consulting approaches it
Accred Consulting helps decide whether Power Apps is the right tool before anything is built. Discovery maps the current process, users, data and licensing, and we say plainly when a form, a list or an existing product is a better answer. The proposal sets scope, fixed price and timeline. The US-based specialists assigned to your engagement design the data model, build the app and supporting flows, and set up environments for production use. In one engagement, an insurance brokerage of about 70 employees replaced shared-inbox intake with a 5-stage Power Apps workflow in 7 weeks. Handover includes documentation and knowledge transfer.
Track record: 475+ client projects, 2,000+ migration workstreams and 210,000+ users migrated by a US-based team. Company facts · Case studies
