Short answer
Choose Microsoft 365 Copilot when the main need is help inside Outlook, Teams, Word, Excel and PowerPoint using your Microsoft 365 data. Choose Claude when the main need is strong writing, analysis, research, document review or coding in a dedicated workspace. Many businesses use both: Copilot for in-app Microsoft 365 work and Claude for deeper analysis and drafting, with one governance policy covering each.
Key facts
- Copilot is built into Microsoft 365 apps and grounded in Microsoft Graph data the user can access.
- Claude is a separate workspace and can reach Microsoft 365 content through its Microsoft 365 connector.
- Both respect the user's existing permissions, so oversharing cleanup matters for either.
- Both vendors offer commercial terms stating customer data is not used to train models by default.
- The right answer is often by role, not one tool for everyone.
How the two tools differ
Microsoft 365 Copilot and Claude overlap, but they start from different places. Copilot lives inside the Microsoft 365 apps people already use. Claude is a general-purpose AI assistant from Anthropic with its own workspace, plus connectors to other systems, including Microsoft 365.
| Area | Microsoft 365 Copilot | Claude (Team or Enterprise) |
|---|---|---|
| Where it runs | Inside Outlook, Teams, Word, Excel, PowerPoint and Copilot Chat | Claude web, desktop and mobile apps, plus API and cloud platforms |
| Microsoft 365 data | Native grounding through Microsoft Graph | Through the Microsoft 365 connector after admin consent |
| Meetings | Teams meeting recaps and live questions | Works from transcripts or notes you provide or connect |
| Writing and analysis | In-document drafting and summaries | Long-form drafting, analysis and document review in Projects |
| Coding | Not the main focus; GitHub Copilot is a separate product | Claude Code on eligible seats, plus API for developers |
| Admin | Microsoft 365 admin center, Purview, Entra ID | Claude admin console, SSO with Entra ID, SCIM on Enterprise |
| Licensing | Add-on to a qualifying Microsoft 365 plan | Per-seat Team or Enterprise plan, or usage-based API |
When Microsoft 365 Copilot fits better
- Staff spend most of the day in Outlook and Teams meetings and want help where they already work.
- Meeting recaps, email thread summaries and catch-up on chats are the top use cases.
- You want governance handled through Purview, sensitivity labels and the Microsoft 365 admin center.
- You want to build agents in Copilot Studio that work across Microsoft 365.
When Claude fits better
- The main work is long documents: contracts, proposals, policies, research reports or technical writing.
- Teams need careful analysis of data exports, documents or mixed sources, not just a summary.
- Developers or IT staff want help writing and reviewing code and scripts.
- Staff need a shared workspace with Projects that hold standard instructions and reference files.
- You want to build custom AI workflows through an API with a model you can also use on major clouds.
Using both without creating chaos
Running both tools is common, but it should be deliberate. Decide which roles get which tools, and avoid giving everyone both by default. Use one AI acceptable use policy that names each approved tool and what data it may handle.
Keep identity in one place. Both tools can use Entra ID for sign-in, so access follows the same joiner and leaver process and Conditional Access policies. Review the Microsoft 365 data each tool can reach: Copilot through Graph and Claude through its Microsoft 365 connector. Fixing SharePoint oversharing helps both.
Also note that Microsoft offers Anthropic models as an option in some Copilot and Copilot Studio experiences, and Claude models are available through Microsoft Foundry. The lines between the products are moving, so revisit the decision at least yearly.
How to decide
Run a short side-by-side pilot. Pick 10 to 20 users across roles, give them both tools for four to six weeks and list five real tasks per role. Track which tool people choose for each task and why. Most organizations find a split by role: Copilot for managers and meeting-heavy roles, Claude for analysts, writers, legal, technical and development staff, and both for a small group of power users.
Factor in readiness. If your SharePoint is badly overshared, fix that first, because it affects both tools. If your content lives mostly outside Microsoft 365, Copilot has less to work with and Claude's connectors or file uploads may matter more.
How Accred Consulting approaches it
Accred Consulting deploys both Microsoft 365 Copilot and Claude, so the recommendation is based on your roles and data, not on a single product. Discovery reviews how teams work, where content lives and how much oversharing must be fixed. Accred then runs a side-by-side pilot with named tasks, recommends a license split by role and configures each tool with Entra ID sign-in, data controls and connectors. You get a fixed-price proposal, structured check-ins during delivery and documentation at handover, working directly with the US-based specialists assigned to the engagement.
Track record: 475+ client projects, 2,000+ migration workstreams and 210,000+ users migrated by a US-based team. Company facts · Case studies
